How do I put my brand on what signers see?
A signer meets your organisation in three places: the mails they receive, the signing page they open from them, and the page they land on afterwards. In the console, Branding (in the left menu, for coordinators of the organisation) changes all three, in one page with three tabs. It is meant to be quick: a logo, three colours and your own words, nothing to design. Everything is checked before it is saved, and the answer names each problem, so a mail that would end in a spam folder never goes out.
The three tabs
| Tab | What you change |
|---|---|
| Brand | Your logo (PNG or JPEG), the header, button and footer colours, the footer text in Italian and in English, the sender name and the address replies go to, and two switches: brand the signer emails, brand the signing pages. A preview shows a sample mail and a sample signing page, on a computer and on a phone. |
| Emails | The wording of each mail a signer receives, in Italian and in English: the invitation, the reminder, the withdrawal, the expiry, the signed copy and the copy notice. Each opens with our own text already filled in, so you edit instead of writing from scratch. |
| Signing pages | Your logo and colours on the pages a signer meets, and four short lines of your own: an introduction under the title, a message after signing, a message after declining and a message on a link that no longer works. |
What you never change: the structure of a mail, the closing notice (how to report a document the
person was not expecting), the one-time code mail, the notices we send to you, and on the signing
page the legal and consent lines, the code step and the signature controls. And you never write HTML:
a mail is plain text with placeholders and **bold**.
Writing a mail
Open Emails, choose a mail and a language. The subject and the text are already there. Change them, press Preview to see them as a signer will, and Save. A language you leave alone keeps using our text. A change applies to mails written from then on; a mail already sent keeps the words it was sent with.
- Send me a test mails the wording you are editing, with sample values,
to your own address, marked
[TEST]. Nothing is saved, and you can send a few a minute. - Restore the default goes back to our text for that mail and language. A text you leave identical to ours counts as the default.
- Each mail shows whether it is Default or Customised, per language.
Placeholders
A placeholder is a name between double braces, such as {{ full_name }}. It is
swapped for its value by plain text substitution when the mail is written. Only the names below exist: any other
name is refused, and nothing you type is ever run as a template. A line whose placeholder has
no value (no deadline, no note from the sender) is left out of the mail.
| Placeholder | Becomes | Where it can be used |
|---|---|---|
{{ full_name }} | The signer's name | Every signer mail |
{{ subject }} | The document's name (a test request is marked [TEST]) | Every mail, in the subject or the text |
{{ message }} | The sender's note to the signer | Invitation, reminder (text only) |
{{ link }} | The signing link, shown as a button | Invitation, reminder (text only, required) |
{{ expires_at }} | When the link stops working, in your organisation's date format and zone | Invitation, reminder (text only) |
{{ code_note }} | The sentence about the confirmation code, in the mail's language; empty when the signer needs no code | Invitation, reminder (text only) |
{{ intro }} | Your introduction line (set on the Emails tab) | Invitation, reminder (text only) |
{{ replaced_note }} | The sentence saying somebody else has been asked to sign instead | Withdrawal (text only) |
{{ stage_label }} | What the copy notice is about: sent for signature, reminder sent, or signed | Copy notice |
{{ stage_note }} | The sentence the copy notice is about, with the document's name | Copy notice (text only, required) |
{{ sender_name }} | The sender name you set under Brand (your organisation's name if empty) | Every mail |
{{ organisation }} | Your organisation's name | Every mail |
The signing link must be on a line of its own, or written Sign now: {{ link }}
(a short label, a colon, the link), with at most one more line under it: that is what becomes the
button, with the address printed underneath for a mail program that shows no buttons.
What is checked, and why
Every check runs before saving. If any fails, nothing is saved and the page lists every problem, field by field.
| Check | The rule |
|---|---|
| Placeholders | Only the names above; the required ones present (the invitation and the reminder need the link, on its own line; every mail but the copy notice must name the document in the subject or the text); no {% %} or other template syntax. |
| Text only | No HTML tags, no Markdown links, no web address of any kind (the one link is the placeholder), no email address or phone number in a mail text. The footer text on the Brand tab is the place for a contact address, a number or your website. |
| Length | Subject 5 to 90 characters, text 40 to 3,000, no line over 400 characters; each signing-page line up to 400, the footer up to 600. |
| Tone | At most 2 exclamation marks in the subject and 5 in the text, no run of the same punctuation (!!!, ----), no more than a few words in capitals, and none of the wording that sends a mail to the junk folder (in Italian and in English: free money, click here, clicca qui, hai vinto, and the like). |
| Never asked | A signing mail never mentions passwords, PINs, bank or card details: it is what a phishing mail asks for, and it would make your real mails look like one. |
| Hidden characters | No zero-width or direction-changing characters, no link shorteners. |
| Colours | Six hex digits like #153563, and the text on the colour must reach a contrast of 4.5 to 1 (WCAG 2.2 AA). A colour that cannot is refused with the nearest one that can. The button colour is also used on the signing page, where it must read as text on white; a lighter button colour still works in the mail, and the page keeps our green. |
| Logo | PNG or JPEG, up to 512 KB, each side between 32 and 2,000 pixels. SVG is refused: an SVG file can carry script. |
The signing pages
On the Signing pages tab, switch the pages on and write up to four lines, each in Italian and in English (a page uses the text of its language, else the other one). The pages then wear your logo, your header colour behind our name at the top and your button colour on the buttons. It is a small stylesheet built from your validated colours, never your own CSS, and the page works without script. The lines are plain text: no HTML, no placeholders, the same checks as above.
On a phone
The Branding page works on a phone, with every control a finger can reach, and each preview has a phone-width version beside the computer one. The mails and the signing pages are drawn to fit a small screen whatever you write.
Who can change it
Only the organisation's coordinators. A colleague with the user role does not see Branding at all. Each save is written to the audit trail with who and what (the mail and the language, a version number), never the words.
